Resource and Operations Coordinator at Mindworks - the Cognitive Science Lab of Greenpeace

Do you want to support the social science team in Greenpeace? Mindworks utilizes insights from social psychology and other cognitive sciences to develop tools for Greenpeace campaigns that aim to protect our planet. Together with a team of freelancers we support the campaigns of our Greenpeace offices from around the world. We help them to better understand their audiences so that they can design projects that change people's attitudes and behavior. We also provide training for our global staff and for other NGOs. 

We are looking for a person to coordinate our project and training portfolio, our freelance contracts, the internal and external communication and our tool and training libraries. Work will be mainly of administrative and editorial nature. 


Job Responsibilities:

  • Provide assistance to Mindworks team to prepare workshops and training (online and offline), including the preparation of materials and presentations, logistics, update the communication platforms & newsletters
  • Manages relationships (including contracts and payments) with all freelance staff
  • Ensures proper documentation of work assignments, meeting outputs.
  • Assist the team project, team communication internal & external
  • Overseeing the agenda and logistics
  • Provide support to the DM in budget management/ hiring/ line management

We offer a one-year contract with an option to be extended. The position is a part time position for 3 days per week.

Purpose and Scope of the Job

The Resource and Operations (RO) Coordinator is responsible for editing, designing,
managing and spreading the resources of Mindworks to enhance the accessibility and
reach of our materials.
She/he provides administrative and executive assistance to the Mindworks team to enable
the effective global functioning of the Mindworks team.
The position facilitates and coordinates the contractual relationships with all the
freelancers supporting the Mindworks team as well as the reporting to funders.

Job responsibilities

Conceptual tasks, Strategy development and/or Project management


Coordinate the development of the visual identity of Mindworks. -Coordinate the design of the material and platforms (SoMe) to increase accessibility of Mindworks resources. 


He/she updates and enhances the resources of Mindworks. This includes proofreading, document design, translation of content into online learning tools and similar tasks. The position is responsible for improving systems and ways to disseminate information and enhance communication within the team, the wider organisation and to partners outside of Greenpeace. 



Provide assistance to Mindworks team to prepare workshops and training (online and offline). He/she assists the preparation of materials and presentations and coordinates all event logistics.  

Supports the creation of new Mindworks resources (editing, design).

Updates existing resources or modifies them for new audiences. 

Keeps resources and communication platforms, networks and newsletters updated. 

Manages relationships (including contracts and payments) with all freelance staff. 

Supports the management of relationships and communication with teams and projects that Mindworks is supporting. 

Ensures proper documentation of work assignments, meeting outputs.
Manages the work and project plans of the Mindworks team. 

Operates as the interface between Mindworks and the operational departments of GPEA (e.g. Finance, Legal and HR) 

Support/ Coaching/ Leadership

Enable the Director of Mindworks (DM) to work efficiently and effectively by overseeing all matters relating to organizing the DM's agenda and logistical needs. 

Assist the DM in communicating to internal and external stakeholders.

Aggregates and processes information to enhance the ability of the DM to make informed decisions. 

Supports the DM in his/her effort to raise funds for Mindworks. 

Assists or leads projects which the DM delegates.


Compliance/ Keeping Framework Conditions

Provide support to the DM in budget management of Mindworks.

Provide support to the DM to perform line management responsibilities including hiring and review processes.

Skills and Expertise required

-Applicants require good Mandarin and English proficiency. 
-Candidates should have the skills and enjoy enhancing the design and presentation of Mindworks resources to make them more attractive and accessible for multiple audiences. 
-Candidates should have experience and enjoy providing administrative -support and support the work of their fellow team-members
-Candidates should have good organisational skills. And an appreciation for detail and accuracy. 
-Candidates should enjoy maintaining internal and external relationships to facilitate the smooth transaction between teams. 
-Candidates should support the values and mission of Greenpeace in general and Mindworks specifically. 
-A profession or academic background either in communications, design or social science is not required but an advantage. 

Specific Work Environment

The position works in a standard office environment, and might sometimes be required to travel to other Greenpeace offices or to support Mindworks events. 

Compensation Info

This is a part time position. We are looking for a candidate to work 3 days per week. Working times can be arranged flexibly to accomodate the needs of the candidate and requirements of Mindwork.
