Purpose and Scope of the Job

The Outreach Planner is responsible for implementing Monthly/Quarterly/ Annual outreach plan individually and also developing and coordinating the outreach plan with cooperating with Direct Dialogue Coordinator that meet the needs and ensures the efficiency and effectiveness of the Direct Dialogue (DD) fundraising programme. This position also ensure that it acquires venues / outreach program are booked and arranged in systematic way and in ready condition for the Direct Dialogue Campaigner  to raise fund. These venues/outreach program can include Subway stations, public places, work places, banks, Airport, shopping malls or any type of potential venues and outreach program such as Business to Business Program/ Door to Door Program/Mass Presentation etc. Direct Dialogue Campaign is one of the most valuable ways that Greenpeace recruits new supporters .Direct Dialogue Fundraisers engage and inform the public about the urgent issues that Greenpeace work on and inspire them to support us by becoming regular monthly donors. Therefore, Outreach Planner plays an important role in Direct Dialogue Team.

Job responsibilities

A) Acquire potential fundraising Venues

Plan and schedule fieldwork locations every month systematically

Research, scout and acquire sufficient potential fundraising venues no matter from indoor or outdoor or any type of venues every month  

To ensure that venues (indoor and outdoor) are an important part of the location planning with a goal that 30% to 40% of the donors are generated through a venue approach.

Draft and update all proposals and presentations required to secure venues

Negotiate venues/vendors with reasonable rate. Arranging face to face meeting if necessary

Establish and maintain effective relationship with venue contacts and vendors. Manage and coordinate Direct Dialogue Venue logistics such as Venue set-up

 


B) Outreach Program

 

Develop and plan strategically for the implementation of different kind of potential Outreach Program/Activities with cooperating with Direct Dialogue Coordinator

Research potential outreach opportunities and negotiate to acquire outreach activities

Conduct analytical report back and outreach program SWOT


 

C) Create and maintain Venue/Outreach Database and analytical reporting

 

To create a detailed data-base and tracking records of workplaces, Venues, outreaches

To conduct professional locations/venues analysis and report back in a timely manner

To evaluate performance of each location/venue/outreach activity and  deliver a presentation about the evaluation and findings to the teams


 

D) Venue Materials and Budgeting

 

Cooperate with Direct Dialogue Coordinator to develop and implement direct dialogue-marketing materials

Cooperate with Designers/Design Agencies/ Production house to produce creative Direct Dialogue Venue/Outreach Materials with help by Direct Dialogue Marketing Officer / Fundraising Assistant

Take part of responsibility for accurate financial management of the Direct Marketing budgets

Cooperate with Fundraising Assistant to edit / Polish basic current materials design artwork/layout

Take part of responsibility with guidance from Direct Dialogue Coordinator for accurate financial management of the Venue/Outreach Budget

Ensure all venues / outreach materials are maintained professionally, good quality and sufficient quantity by keeping track of the inventory system


 

E) Others

 

Attending meeting with the Teams and Direct Dialogue Coordinator to discuss about the Venue performance or any meetings about Venues/ outreach program

Motivate and support staff to achieve objectives for DD team

Coordinate venues with Direct Dialogue Outsourcing agency

Any other tasks relevant to the position scope as directed by the Direct Dialogue Coordinator
