Purpose and Scope of the Job

The Executive Assistant to Deputy Executive Director is a high-level administrative position that works closely with the Deputy Executive Director and the Leadership Management Team in the Fundraising & Engagement Department (FR&E). The Executive Assistant coordinates and supports the priorities and focus of the Deputy Executive Director alongside the management of the department in order to maximize their effectiveness in providing strategic leadership to the department. An additional responsibility is to assist the Deputy Executive Director in any relevant tasks and the responsibilities within Greenpeace East Asia’s Senior Management team (GPEA SMT) and with Greenpeace International and other Greenpeace offices.

Job responsibilities

  • Provide assistance to the Deputy Executive Director for meeting preparation and planning events
  • Create and edit documents, presentations, and correspondence for the Deputy Executive Director upon request
  • Reviews, assesses, routes, answers and monitors follow up on correspondence
  • Gathers and analyzes information required for administrative reporting
  • Coordinate special projects, including those within the organization and sometimes with allies as delegated by the Deputy Executive Director
  • Organize briefing notes, background papers and /or internal and external reports
  • Keep informed about developments within Greenpeace worldwide; coordinate, produce and distribute internal information as directed by the Deputy Executive Director, in order to ensure relevant materials and information are available on a timely basis
  • Gather, coordinate and disseminate relevant fundraising & engagement internal communications of Greenpeace East Asia within the office and to the global organization
  • Maintains department knowledge management system(s)
  • Assist the Deputy Executive Director in communicating with internal and external stakeholders
  • Provide support to the Deputy Executive Director in producing and monitoring yearly Fundraising & Engagement Development Plans
  • To enable the Deputy Executive Directors to work efficiently and effectively by overseeing all matters relating to organizing the Deputy Executive Director's agenda and logistical needs

Skills and Expertise required

  • Strong executive administration skills
  • Good time management including knowledge of time management web-based tools like G Suite (e.g. Google Keep)
  • Strong organizational, project management and problem-solving skills with multi-tasking abilities
  • Understanding of financial documents and solid mathematical skills


Specific Work Environment

Works in a standard office environment. Travel is required. Based in Taipei.
