Purpose and Scope of the Job

Data Reconciliation Specialist is a regional role within the Fundraising & Engagement Department, playing a pivotal role in the Data, Insight & Analytics Team (DIA). This role supports fundraising & engagement operations across all East Asia markets – Hong Kong, Taiwan, South Korea and Japan. 

 

This position primarily focuses on systematically verifying, validating and reconciling financial data (or any data related to Fundraising & Engagement)  from various sources. The core objective is to identify and rectify discrepancies, errors and inconsistencies to facilitate accurate report creation. The Data Reconciliation Specialist is responsible for maintaining high data quality standards, enabling efficient execution and management of payment processing, result validation, income reconciliation, and the creation of fundraising governance reports.

 

In addition to data reconciliation, this position assumes significant responsibility for optimizing the payment processing processes and Financial reconciliation processes supervised by its line-manager or designated. This optimization aims to drive healthy growth and sustainability of the fundraising program while ensuring alignment with Fundraising Governance Guidelines.


The Data Reconciliation Specialist possesses valuable expertise in both Data & Payment  Management and Fundraising Governance. This role also oversees knowledge management within the DIA Team’s documentation and fundraising governance documentation, ensuring effective capture and sharing of valuable knowledge. 

Job responsibilities

1) Payment Processing and Reconciliation:
a. Prepare related documents for payment processing and ensure the payment data accuracy.
b. Ensure timely and accurate processing of donation payment / refunds and troubleshoot on payment related issues 
c. Verify and reconcile payment transactions received from various sources (e.g. Bank, Payment Gateway, CRM etc)
d. Execute and ensure synchronization of bank statement/ payment transactions data with the CRM system
e. Liaise and communicate with the banks, post office and payment gateway providers to execute payment processing and improve payment processing results. Also, handle any payment issues /dispute cases
f. Follow up and monitor debit failure data and reconcile the data that enters the debit failure journey to ensure effective management of the debit failure transactions.
g. Report payment processing results and provide insights from the payment response data.

2. Data Reconciliation (Prioritizing financial data)
a. Reconcile income data generated from various sources including CRM, bank, post office, mobile wallet platform or any external third party portal to ensure accuracy and completeness.
b. Create a balanced Financial Reconciliation Report for the finance department
c. Investigate and address/identify discrepancies in income-related records and reports.
d. handle data reconciliation requests from the Fundraising and Engagement Department e.g. Donor Contact Data, Journey Data, Fundraising Permit data.

 

3. Data Verification, Validation, Cleansing and Enhancement:
a. Review and validate financial data for accuracy and completeness. 
b. Ensure that donation amounts, dates, income code and related details e.g. Fundraising Permit data are consistent and accurate. 
c. Identify and rectify data inconsistencies, duplications and errors related to payment and income data
d. Enhance data quality through data cleansing and transformation processes, specifically in financial data
e. Maintain high data quality and integrity of CRM and financial records

 

4. Documentations and Reporting:
a. Maintain detailed records of payment processing and income reconciliation activities including reports, method, findings and outcomes.
b. Create documents to record standard operational procedure for payment processing execution, debit failure performance monitoring. income reconciliation and related fundraising governance documentations.
c. Generate and file monthly finance reconciliation reports and Fundraising Governance related reports, log books for each time payment processing and income reconciliation.

Skills and Expertise required

  • Bachelor’s degree in finance, accounting, computer science, mathematics, statistics  or a related field or equivalent work experience

  • A minimum of 3 years of related work experience. Experience in a non-profit organization is advantageous.

  • Proven experience in payment processing, income and data reconciliation, financial / data analysis or any related financial / data related roles. 

  • Proficiency in data manipulation and analysis using tools such as (e.g. Excel, SQL)

  • Strong attention to detail and a commitment to data accuracy, particularly in financial data

  • Excellent problem solving skills and investigation skills 

  • Ability to work independently

  • Ability to adapt to changing circumstances (Environment, procedures and people) while remaining fully functional.

  • Ability to follow existing rules, procedures and policies. Seeking reinforcement from the appropriate authority when in doubt.

  • Ability to meet straight deadlines

  • Excellent time management skills to efficient and effective work in a fast-paced environment

  • Effective communication skills to collaborate with cross-functional teams on financial data or any fundraising & engagement data matters. 

  • Working knowledge/experience in Customer Management Systems (e.g. Salesforce) is a plus 

  • Knowledge of Data Governance, Fundraising Governance and compliance requirements is a plus

  • Fluency in written and spoken English and proficiency in local languages. Other languages such as Cantonese, Mandarin, Korean or Japanese would be advantageous.

Specific Work Environment

The position is based in Taiwan and will require the successful candidate to work from the office. Greenpeace East Asia has a flexible working policy and is a family friendly place to work.
