Overall purpose of the job

 

Greenpeace East Asia (GPEA) is a leading environmental campaigning organization, working with supporters in East Asia and globally to tackle the most crucial environmental crises affecting the region and the world. The Data & Systems Manager position reports to the Deputy Director – Head of Data, Insights & Strategy within the Fundraising & Engagement (FR&E) Department at Greenpeace East Asia (GPEA). The Data & Insights Team within the FR&E Department consists of two units: the Analysis & Insights Unit and the Data & Systems Unit. This position leads the Data & Systems Unit.

 

  • This is a regional role which covers Hong Kong, Taiwan and Seoul Offices. This position will establish and lead the best practice of data management and data governance within GPEA. This position is also responsible for managing GPEA’s fundraising Customer Relationship Management (CRM) system (a customized Salesforce system in Hong Kong and Taiwan, and a South Korea local system), engagement system, payment gateways, and business intelligence systems.

 

The Data & Systems Unit works very closely with the Analysis & Insights Unit within the Data & Insights Team, which supports the FR&E Department in accurately forecasting fundraising income to select effective fundraising activities and targets and undertaking NGO supporter behaviour trends analysis.

 

 

Scope

 

This Data & Systems Manager position requires strong team leadership, hands-on experience and knowledge in both data management and systems management in an operational environment. This position is responsible for the establishment of effective data management and data governance, with particular responsibility for the management of all data (financial and non-financial supporters) to support the Fundraising and Engagement activity in East Asia.

 

Data and systems play a crucial role in supporting the recruitment and retention of donors, supporters and volunteers. The position is responsible for optimizing the use of data and analytics tools in identifying and fulfilling related training and on-going development needs.

 

Ideal candidates should have solid experience in establishing and implementing the DAMA Data Management Body of Knowledge (DMBOK) and data governance frameworks (such as the Data Governance Institute Data Governance Framework). Certified Data Management Professional or equivalent would be highly desirable.

 

This position is responsible for the overall management of GPEA’s Fundraising CRM databases (a customized Salesforce system) and systems development projects, engagement system, payment gateways and business intelligence systems. Experienced Salesforce Certified Administrator and prior experience with data warehouse business intelligence would be highly regarded.

Job responsibilities

Data Governance and Data Management

  • Establish and implement effective data governance and data management practices within GPEA.
  • Manage and develop comprehensive documentation which captures data, systems and business knowledge.
  • Ensure data is handled appropriately and securely; that data privacy laws and other data handling best practices are complied with.
  • Ensure integrity, confidentiality and security of all data in the fundraising and engagement databases.
  • Develop a data strategy to drive effective integration between fundraising database and other Greenpeace databases or systems, such as the Greenpeace websites, Finance system, mass-mailing systems and email marketing and petition systems.

 

Systems Planning and Management

  • Manage the day-to-day operation of the fundraising CRM systems, engagement systems, payment gateways and business intelligence systems. Ensure that these systems are effective and fit for purpose.
  • Undertake current state and future state assessment to identify any gaps or misalignment of system functionality against business requirement.
  • Undertake regular audits and develop program of works or projects to improve the system workflows, system / data integration, and user experience.
  • Work with global team to test and update any system upgrades or patches that are relevant for GPEA.
  • Manage user requests for data, reporting and system changes promptly.
  • Develop operational metrics and provide regular operation reports to the Deputy Director.
  • Identify and evaluate options for a new CRM solution in Korea.
  • Review proposed global systems projects to determine if they are in line with GPEA goals and business requirements.

 

Support/ Coaching/ Leadership / People Management

  • Develop and manage performance and development plan for individual team member
  • Provide guidance, skill-sharing, coaching and support to team members and non technical managers within GPEA
  • Provide information to Fundraising/Deputy Directors, Direct Dialogue teams, Supporter Services teams and other related staff with accurate data/reports required to perform their various duties in a timely and efficient manner
  • Work with Finance team on finance reconciliations
  • Liaise with other GPEA staff to identify and determine business requirements for any future system changes

Skills and Expertise required

  • Solid experience in establishing and implementing the DAMA Data Management Body of Knowledge (DMBOK) and data governance frameworks (such as the Data Governance Institute Data Governance Framework).
  • Certified Data Management Professional or equivalent would be highly desirable.
  • Experienced Salesforce Certified Administrator and prior experience with data warehouse business intelligence would be highly regarded.
  • Database management, in particular the ability to query with SQL language and development.
  • Degree in Information Technology, Computer Science, Engineering or related fields; post graduate degree such as Master of Business Administration would be highly regarded.
  • Fluent in English (verbal and written). Other languages such as Cantonese, Mandarin and Korean would be highly regarded.

Specific Work Environment

  • Occasional travel in other Greenpeace offices for trainings, skillshares.
  • Occasional work or travel to other locations within and outside of Greenpeace East Asia region for meetings with partners, consultants, experts; trainings, conferences, seminars, etc.
