Purpose and Scope of the Job
HRIS and Data Specialist is responsible for developing, implementing and maintaining HRIS system, as well as data collection, retrieval, accessibility and analysis of employee information to support HR operation and the people strategy of the organization. The main responsibilities include providing technical guidance and direction on the HRIS system usage to the system users; identifying opportunity to improve HRIS processes, functionality and workflow; developing and implementing strategies to address system-related issues to meet the requirements of HR management and the staff; providing training to the users on functionality of the HRIS systems as needed.
The post holder may serve as HR department liaison to third party vendors and will be well-versed in a variety of computer system environments and be able to troubleshoot technical issues. The post holder will usually work with HR staff, IT and Comms on HR system development in Greenpeace East Asia.
Job responsibilities
System maintenance and optimization
• Support the implementation and maintenance of various modules within SAP SuccessFactors. Analyze the need for system enhancement or customization in each module (i.e. time off management, employee files, performance management, recruitment, etc.).
• Constantly monitor system performance and communicate with the system users to identify processes that need improvement.
• Troubleshoot system problems and provide tips to system users as needed.
• Collaborate with third party vendors to coordinate the entire system maintenance / enhancement process and document its overall results.
• Coordinate data entry into the HRIS system and its maintenance and assure data integrity and accuracy of HR information.
• Create the appropriate User documentation / procedures and provide necessary training for all the system users to ensure current modules are being utilized and optimized to the fullest.
Analytics and Reporting
• Process and maintain periodic HR reports and statistical analysis on request.
• Create, generate and maintain effective HR reporting and HR metrics to drive organizational effectiveness.
• Develop and generate ad hoc reports to provide HR with timely and accurate data.
• Create and maintain documentation of reporting processes and training guides for end users.
Other Duties
• Support the development and maintenance of GPEA Career Site.
• HRIS system contract review & renewal.
• Others ad hoc projects related to the job scope as assigned by the line manager and task givers.

Competencies Profile
Skills and Expertise required
1. 2+ years’ experience in managing HRIS system, preferably in operating SAP.
2. Microsoft Excel super user
3. Extensive HR systems reporting, HR process, and project management experience
4. Experience working in a multi-national organization preferred.
5. Demonstrated experience/maturity to handle confidential and sensitive information.
6. Possess positive, service oriented attitude with excellent follow through on issues.
7. Highly organized with ability to manage multiple priorities in a fast-paced environment.
