Purpose and Scope of the Job

The Foundations and Grants Manager strengthens our foundation partnerships and drives sustainable funding for our environmental campaigns across the region. As a core member of the Fundraising & Engagement team, this role collaborates with Program, Finance, and the Senior Management Team (SMT) to develop and secure foundation grants. The Foundations and Grants Manager is responsible for the entire grant lifecycle—from proposal development and writing to budgeting, compliance, and reporting—ensuring each element aligns with Greenpeace East Asia (GPEA) mission and strategic goals. This position also plays a critical role in fostering and maintaining positive relationships with foundation partners.

Job responsibilities

1. Foundation Grant Management

  • Develop, write, and manage foundation grant proposals that align with GPEA’s strategic priorities, adapting style and content to meet specific foundation guidelines and requirements.

  • Collaborate with Program, Fundraising, and the SMT to craft compelling, high-quality proposals that showcase key environmental initiatives and campaign objectives.

  • Ensure compliance with foundation and regulatory guidelines, coordinating with Finance to maintain transparent, well-documented agreements.

  • Serve as a primary contact for foundation partners, managing communications, reporting, and handling clarifications or negotiations professionally.

  • Contribute to evaluations of grant-funded projects, offering insights to strengthen GPEA’s foundation fundraising strategy.

 

2. Proposal Writing and Editing

  • Draft persuasive, accurate, and mission-driven proposals tailored to each foundation's interests, with a focus on clarity, impact, and relevance.

  • Edit and refine proposals, ensuring consistency in tone, messaging, and alignment with GPEA’s objectives and language standards.

  • Create and maintain a repository of proposal templates, case studies, and impact stories to support high-quality and efficient proposal development.

  • Collaborate with internal stakeholders to gather program details, statistics, and success stories that enhance the appeal and effectiveness of grant applications.

3. System Development and Compliance

  • Lead the development and implementation of grant management processes and tools in collaboration with Fundraising Operations, Program Operations, Finance, and Legal.

  • Establish and maintain tracking systems to monitor deliverables, ensuring alignment with grant commitments and providing timely reports to stakeholders.

  • Keep comprehensive records of grant activities, using CRM systems (Grant Seeker) to track communications, submissions, and key documentation.

4. Budgeting and Financial Analysis

  • Coordinate and work closely with the Finance team, to monitor, and analyze grant budgets, ensuring they align with foundation expectations and financial accuracy.

  • Collaborate with Finance on revenue forecasting and expenditure monitoring to ensure efficient resource allocation and identify cost-saving opportunities.

  • Conduct periodic reviews of grant expenditures to ensure funds are used effectively, documenting all financial activities in compliance with foundation requirements.

5. Foundation Relationship Building

  • Cultivate and sustain strong, long-term relationships with foundation partners to secure ongoing funding opportunities.

  • Develop a deep understanding of foundation goals and priorities, aligning them with GPEA’s mission for sustained, impactful partnerships.

  • Provide regular program updates to foundation partners, highlighting key accomplishments and reinforcing shared objectives and values.

Skills and Expertise required

Knowledge and Experience

  • At least 5 years in foundation grant management, with proven success in grant writing, securing funds, and managing relationships with donors.

  • Background in environmental or advocacy sectors, with knowledge of nonprofit foundation partnerships and their unique requirements.

  • Strong expertise in budget management, financial reporting, and grant compliance.

  • Experience managing complex grant cycles, from proposal creation through reporting and impact assessment.

  • Familiarity with CRM and grant management tools, particularly Salesforce.
